ProStock Vets is a limited company, providing veterinary services in South West Wales. We are committed to protecting and respecting your privacy. This privacy policy sets out how ProStock Vets Ltd (registered company no. 8442125) processes and protects any information that you give us when you register with our practice to enable us to deliver the veterinary services and products you have requested. Please read it carefully to understand your rights regarding your personal data. By using our services, you are accepting and consenting to the practices described in this policy.

What information about you do we collect and why?

 

1. This is any information that you give us via forms, by phone, email or other correspondence.

  • Name – So that we can identify you and personalise our communications with you.
  • Address – So that We can identify You, register your animal with our practice send reminders, correspondence, Newsletters and information about our services and events relevant to you.
  • Location information (such as postcode) – So that we can inform you about any animal health concerns we are aware of in your area and to carry out veterinary work for you.
  • Email address – So that we can contact you about your Animal, send reminders about your appointments, vaccinations, Newsletters and correspondence about our service, animal health issues and sales invoices.
  • Mobile number(s) – So that we can contact you and send SMS reminders about your Animal, your appointments, vaccinations, our services and events.
  • Telephone number – So that we can contact you about your Animal and to carry out work for you.
  • Holding Number- For official Veterinarian duties

We use this to understand how our website is used. All the data is anonymous and linked to use of our website. You can view Google’s Privacy Policy on their website.

Why do we collect this information?

  • 1. To register you and your animal(s) on our Practice Management System
  • 2. For internal record keeping and clinical governance
  • 3. To communicate with you in connection with the health of your animals.
  • 4. To record the health and treatment history of your animals and apply relevant fees to your account, together with veterinary medicines, consumables and other goods purchased
  • 5. To communicate with you for administrative purposes
  • 6. To provide you with service communications that enable us to perform our obligations to you (these may be sent by email, post, telephone or text message)
  • 7. To provide you with marketing communications, including information about goods and services you already receive, and additional goods and services we offer
  • 8. To ensure that our website is effective
  • 9. To deal with legal queries and comply with legal obligations

Under the General Data Protection Regulation (GDPR) the lawful basis we rely on for processing this information are:

Contractual obligation- It is necessary for our contract with you - to provide Veterinary services and products.

Legal obligation- HMRC, Welsh Government

Legitimate interest- So that we can contact you about your animal, send reminders about your appointments, vaccinations, correspondence about our services, animal health issues and newsletters.  We may occasionally email, send text messages or phone you regarding products and services of ours which may be of interest to you.

Please talk to one of our members of staff if you would like to change how you receive Service Communications or if any of the above information changes as soon as possible so that we have up to date records. Please either email office@prostockvets.com with the subject "Opt out" phone our office 01267 233266.

Our staff may ask you to confirm your records are up to date on a regular basis.

Keeping your data secure

Your information is stored on our veterinary practice management system, Idexx Animana as ‘data processor ‘who provide the software. If we obtain any technical support using Teamviewer, then employees of Idexx Animana may be able to view your details. Their privacy Statement is available.

We recognise the importance of keeping your personal data safe and we have in place security measures and policies to prevent personal data from being lost, used or accessed without our permission. We limit access to your Personal Information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

 

How will we use your data

  • We collect and process information so we can carry out our responsibilities in animal health, animal welfare, disease monitoring, public health.
  • Investigate and report positive results for notifiable or reportable disease
  • Monitor the possible spread of disease
  • Consultations/visits/inspections required to protect animals and animal welfare
  • Inform the Veterinary Medicines Directorate of a suspected adverse reaction to a pharmaceutical product
  • Debt collection agencies- If you fall behind with payments for the services we provide, we may engage a debt collection agency to recover the debt on our behalf.
  • To deliver the veterinary services and products you have requested.

 

Transfers of data to countries outside the UK

We may transfer your personal data to a country outside the EEA,  with our cloud storage software Box.com,  Box protects all of your content with advanced security controls, encryption key management and complete information governance and is GDPR compliant.

Who might we share your information with?

You agree that, for the purposes set out above, we have the right to share your personal information with:

1. Selected third parties, some of whom we appoint to provide services including: Laboratories, business partners, subsidiaries and sub-contractors, for the performance of any contract we enter into with you. Third parties may include laboratories, medicines, research & purchasing companies, Defra, Iechyd Da, Xl Vets, Moore-Scarrott Accountants, Local Government, HMRC, Laboratories, Farming Connect and other organisations/bodies.. If you would like more specific information, please contact the practice.

2. Analytics and search engine providers that assist us in the improvement and optimisation of our website.

3. Service suppliers who carry out contractual work with you.

4. Supplying relevant details to another veterinary practice taking over your business needs.

5. Additionally, we will disclose your personal information if: we sell or buy any business or assets, in which case we will disclose your personal data to the prospective seller or buyer; if we are acquired by a third party; if under duty to disclose your data to comply with legal obligations; to enforce our terms & conditions or to protect the rights or safety of our customers.

We do not share or sell your information for marketing purposes with companies outside ProStock Vets.

 

Data retention

We will keep information for a maximum of 7 years after the end of our relationship with you unless we require the data in relation to a claim, for legal reasons or are required to remove data from our records.

We will then destroy and dispose of your data.

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
